Your Erasmus Plan: when and how to update it
Accredited organisations may ask their National Agency to update their Erasmus Plan at any time; the NA decides whether the update is justified. At least once every five years you must report on progress towards your objectives and on the Erasmus Quality Standards, and update the plan. A weak progress report can reduce your future grants.
The rules in brief
- You can request an update voluntarily. Until the NA approves it, your current plan stays valid.
- At least once in five years you must report on EQS compliance and on progress towards your Erasmus Plan, and update the plan. The NA may ask for reports more often.
- Some NAs set fixed deadlines. Finland, for example, set 22 March 2026 for organisations with three completed KA121 final reports.
What the progress report asks
| Part | What you describe |
|---|---|
| Erasmus Plan progress | For each objective: timing, how you measured progress, adjustments, activities, results, impact and evidence |
| Erasmus Plan update | New duration and any change to objectives |
| EQS report | How you met standards I to IV |
Five tips for a strong report
- Keep an evidence folder per objective from day one.
- Use measurable indicators: “70% of participants used a new method within three months”.
- Explain adjustments honestly. Changing course for good reasons is a strength.
- Show impact beyond the participants: colleagues, learners, other schools.
- Link new objectives to what your last projects showed.
Why it matters for funding
Several NAs use these scores when they allocate KA121 budgets. In Sweden, a progress or EQS report scored below 25 points leads to a 20% cut.
Questions coordinators ask us
When should we request a voluntary update?
When your needs change: new priorities, a merger, a new field of activity, or objectives that are already met.
