Four KA1 templates you can copy: selection, preparation, learning agreement, dissemination
Four documents carry most of the quality in a KA1 project: fair selection criteria, a preparation programme, a learning agreement (or course programme) and a dissemination plan. Below are short templates you can copy into your own documents and adapt. They follow the Erasmus Quality Standards.
1. Selection criteria
| Criterion | Points | Evidence |
|---|---|---|
| Fit between the activity and the Erasmus Plan or project objective | 0–30 | Motivation letter |
| Commitment to share results (plan for colleagues) | 0–25 | Short sharing plan |
| First-time participant | 0–15 | Records |
| Participant with fewer opportunities | 0–15 | Statement |
| Teaching load or role that multiplies impact | 0–15 | Role description |
Publish the criteria, the deadline and who decides. Keep a short record of the decision.
2. Preparation programme
- Session 1: objectives, learning outcomes and what the host expects.
- Session 2: practical, safety and insurance briefing.
- Session 3: language and cultural preparation.
- Before departure: personal learning goals written down; sharing plan agreed.
3. Learning agreement (staff course)
- Participant, sending organisation, host organisation and dates.
- Activity type: course or training. Attach the course programme.
- Learning outcomes (3–5): “By the end, the participant will be able to …”.
- How outcomes will be evaluated and recognised (certificate, Europass Mobility).
- Signatures of the three parties.
4. Dissemination plan
| Audience | Action | When | Who |
|---|---|---|---|
| Colleagues | Workshop or staff meeting | Within 1 month | Participants |
| Learners | New activity in class | Within 1 term | Participants |
| Parents and community | Post with photos and EU acknowledgement | Within 2 weeks | Coordinator |
| Other organisations | EPALE or eTwinning post; local network | Within 3 months | Coordinator |
Questions coordinators ask us
Can we use the course programme instead of a learning agreement?
For courses and training, the Programme Guide allows the course programme to serve this purpose.
